Think Twice Before You Scan That QR Code...

QR codes are everywhere, providing easy access to information. That convenience is exactly why hackers use QR codes to trick people into opening malicious links and mindlessly entering credentials on fake sites.

This happens more often than you would think:
- An original QR code is quietly swapped with a false sticker.
- A link preview is made to look legitimate at first glance.
- A payment method is required, yet no purchase is being made.

Here is how you can stay :
- Examine the QR code before scanning to see if it's been tampered with.
- Preview the URL to ensure it matches the domain.
- Avoid making payments directly through QR codes unless you are sure the site is safe.

These small habits can help protect sensitive data, avoid potential scams, and allow you to stay one step ahead of evolving cyber threats!

A little caution goes a long way, visit our website at www.securefuturetech.com for more information.

Moving to the Cloud and Can't Find Your Files?...
Moving your files to the cloud can make work more accessible, yet it can be frustrating when files seem to suddenly disappear.

We see this when:
- Files are saved locally instead of in OneDrive
- Syncing pauses without anyone noticing
- Assuming files have been uploaded successfully

Here is what we recommend to be more :
- Check the OneDrive cloud icon to confirm syncing is active
- Look for sync errors or paused notifications in the OneDrive app
- Ensure files are being saved to the correct OneDrive folder (not desktop)

Two minutes to verify syncing can prevent lost work.
This habit can save you time and stress in the long-run.
Please reach out to us if you would like help troubleshooting OneDrive syncing issues!

isn’t just for closets and garages. Your computer could probably use some attention, too.

Dust, crumbs, fingerprints, and pet hair can build up over time and impact , airflow, and even the lifespan of your . A few minutes of safe cleaning can go a long way.

Here are a few simple cleaning tips:

✅ Turn off and unplug your device before cleaning
✅ Gently shake out your keyboard upside down to remove debris
✅ Use compressed air to clear dust from keyboards, vents, and ports
✅ Use a cotton swab lightly dampened with isopropyl alcohol to clean tight spaces and sticky buildup
✅ Wipe screens with a microfiber cloth only (avoid paper towels)
✅ Clean your mouse and docking stations too. They collect more grime than you think

One important reminder:
🚫 Never spray cleaner directly onto your computer or screen.

Keeping devices clean helps them stay cooler, run better, and last longer.

A little spring cleaning today can help prevent hardware headaches tomorrow!

Plan for the “What If” Before It Happens...

When everything is running smoothly, it’s easy to assume access will always be there when you need it. But in an emergency, even something small can bring crucial work to a halt.

We see it often:

- An employee can’t remember their PIN
- A verification step fails at the worst time
- There’s no backup way to get into critical systems

Suddenly, a simple issue turns into lost time and added stress.

Here is what we recommend to be more :

- Keep a secure, dedicated backup workstation ready for emergencies (with IT's approval)
- Document a clear process for verifying identity and restoring access
With these in place, your team can get back up and running faster, stay calm and focused during disruptions, and maintain security without taking shortcuts.

It’s a simple step, but it makes a big difference when it matters most. Please reach out to us if you would like to set up a backup device for your office!

: Your “Backup” Might Not Be a

If your “backup” is just an external hard drive plugged into your computer… it’s not really a backup.

Here’s why:

If something happens to your computer, such as a failure, , theft, or even a power surge, then that external drive is usually affected too. One incident can wipe out both your original data and your “backup” drive in seconds.

Real backups are built differently:

Offsite – stored somewhere separate from your physical device
Automatic – running consistently without relying on someone to remember
Monitored – checked regularly to make sure they actually work when you need them

In most cases, that means a secure, cloud-based backup solution.

Unfortunately, most don’t realize their backup failed until they try to restore something, and by then, it’s too late.

: Tax Season = Prime Time for Scams

We’re in the final stretch before Tax Day, and hackers are taking advantage.

Why?

Because businesses are:
- Sending financial documents
- Communicating with accountants
- Approving payments and wire transfers
- Moving fast to meet deadlines
- Urgency is exactly what attackers are counting on.

This year, scams are getting even more convincing thanks to .

We’re seeing:
- Emails that look exactly like a CPA wrote them
- “Updated payment instructions” that look legitimate
- Fake invoice requests that match real
- Messages with perfect grammar (no more obvious red flags)

Check out a sample " " email we created in 30 seconds using OpenAI below!

✅ What to do this week:
- Always verify payment changes verbally (call, don’t email)
- Slow down when anything involving money or sensitive docs
- Double-check sender addresses, not just the name
- Remind your team: urgency is a red flag

During tax season, the biggest cyber risk is often trust being exploited at the worst possible moment.

If your team hasn’t been warned about -season scams yet… now’s the time.

: Is Your “Backup” Actually Protecting You?

If your backup is just an external hard drive plugged into your computer… it’s not a real backup.

Here’s why:

That drive is sitting in the same place as your computer. If something goes wrong, such as hardware failure, ransomware, theft, or even a power surge, you could lose both your data and your backup at the same time.

Real backups should be:

✅ Offsite – stored somewhere separate from your office
✅ Automatic – running without relying on someone to remember
✅ Monitored – so you know they’re actually working when you need them

Unfortunately, most businesses don’t realize their backup failed until it’s too late.

If you’re not 100% sure how your data is protected, reach out to your IT provider for help.
