We start every client engagement with the same question.
"If you were not here tomorrow, what would break?"
The answers are always revealing.
"Nobody else knows how to run the invoicing."
"I am the only one with the admin password to our Google Workspace."
"The supplier portal login is in my personal password manager."
"Our client onboarding process exists entirely in my head."
Every answer is a process that needs documenting. Every answer is a single point of failure.
Once we have the list, we prioritise. Five processes first. The five that would cause the most damage if the knowledge holder disappeared.
For most businesses, that list includes client onboarding, invoicing, password management, vendor contacts, and cloud platform admin access.
Then we set up the infrastructure. A shared wiki. A password manager. Google Drive with clear naming conventions. Screen recording tools for complex walkthroughs.
The whole setup takes a few weeks, not months. And once it is running, the business owner can take a holiday without their phone ringing every hour.
