Before you give an AI agent more responsibility, review what information it can access.

Can it find an outdated contract? Access a confidential document? Use content that should have been retired years ago?

As AI agents take on more work, these everyday information governance questions become harder to ignore. Organizations need clear permissions, current content, and policies that determine what AI can access before it starts working.

M-Files helps govern that information, connecting business-critical documents to the customers, projects, and processes they support while applying access and lifecycle controls.

Giving AI useful information starts with knowing where the boundaries belong.

AI agents don’t get tired, lose focus, or stop at the end of the day. So if they get it wrong, they can get it wrong at scale.

In his new Forbes Technology Council article, our Chief Product Officer, Tony Grout, argues that AI governance must evolve for the agentic era. The conversation can’t stop at whether the model is secure or biased. It has to start with whether you can trust the information behind it.

Tony’s core point: don’t ask AI to draw the map; give it one. When AI is grounded in validated business relationships between contracts, customers, suppliers, and regulations, rather than inferring them from language patterns, accuracy improves, and every answer is traceable to its source.

The M-Files Enterprise Knowledge Graph does exactly that, connecting content to its business context, with permissions, version authority, and audit trails built in by design, so people and agents only access what they’re authorized to and act within clear boundaries.

Trusted AI doesn’t begin with the model. It begins with trusted data.

Engineering teams have always had systems to manage the design record. But manufacturing success depends on what happens around it: specifications, approvals, supplier communication, work instructions, and cross-functional change decisions that move every day.

That’s why we launched M-Files for Manufacturing, a purpose-built solution that gives engineering-intensive manufacturers a governed foundation for trusted enterprise AI. It works alongside PLM and ERP applications to connect every drawing, work instruction, and specification to the part, process, and asset it supports.

As Tiina Hietajärvi, our principal industry advisor, puts it, the challenge is governing how information moves and “proving that everyone worked from the correct version.”

Manufacturers can start with one or both capabilities, then expand as needs grow:
· Engineering Change Control: a governed lifecycle for every change, from initiation and technical review to timestamped approval and revision-locked release, so the shop floor always works from the current approved drawing.
· Transmittal Management: a controlled, auditable way to share critical documentation with suppliers and contractors through a permission-isolated external portal, with SLA-based acknowledgments and a complete exchange audit log.

The result is permission-aware search, classification, summarization, and insights, with audit-ready traceability, so teams can make better decisions faster and operate with confidence.

Somewhere in your business, someone is rebuilding a proposal you’ve already delivered. Someone else is chasing a contract obligation buried in a signed agreement.

These are everyday problems where AI agents can make a practical difference, provided they have the right information.

In his latest blog, M-Files’ Yohan Lobo explores how agents can help teams reuse past work, check contracts against approved playbooks, and prepare source-backed drafts. People still make the decisions, but spend less time gathering and verifying the information behind them.

That starts with strong document management: current content, clear permissions, and connections to the clients, projects, and processes it supports.

Connecting AI to more content doesn’t mean it understands it.

In a new Reworked feature on why AI-assisted work gets lost across chats, tools, and apps, our Chief Software Architect, Brian Remmington, makes the point plainly: an AI system can have access to a huge amount of information and still miss the context it needs, because the hard part is understanding how that information relates to the business problem.

In his words, the goal is “getting the right information to the user or agent, not giving AI a massive amount of content to search through.”

That’s the value of M-Files. Our Enterprise Knowledge Graph connects documents to the clients, projects, and processes they belong to, with permissions, version authority, and audit trails built in by design. The result is governed context, so people and AI agents get the right content, in the right context, with the right governance.

Would you trust AI to act on an outdated contract or an unapproved procedure?

As AI agents take on more responsibility, we need to pay closer attention to the information behind their actions. Ownership, permissions, approval status, and business context all matter.

In a recent webinar, experts from Forrester, Microsoft, and M-Files explored what it takes to prepare business content for AI. Our latest blog shares five practical lessons, including where to focus governance efforts and how better document management supports more reliable AI outcomes.

Start with the content that carries the greatest business risk: contracts, quality records, engineering documents, and operating procedures. Make sure it is current, governed, and connected to the processes it supports.

M-Files brings business context, workflows, and lifecycle management to essential content, helping organizations get more value from Microsoft 365 Copilot and AI agents.

Read the five lessons and identify where to strengthen your AI foundation: https://www.m-files.com/blog/articles/ai-readiness-document-management-lessons/

One outdated drawing can put an entire production schedule at risk.

Yet engineering teams still spend hours confirming revisions, chasing supplier acknowledgments, and piecing together approval histories from email.

M-Files for Manufacturing brings engineering change control and document management together, so teams can:
• Work from the current approved revision
• Route changes through a controlled review and approval process
• Track which documents suppliers received and acknowledged
• Keep audit evidence ready as work happens

With information governance built into everyday work, manufacturers can reduce rework, keep changes moving, and build a trusted foundation for AI.

Read the blog to see how stronger document control can protect your next engineering change, from initial review through release:
