Myth vs. Reality in the Warehouse: The WMS Blind Spot 📦❌

We’ve all heard it: "If it's in the Warehouse Management System, it happened."

While a WMS is fantastic for tracking transactions, inventory counts, and processing steps, it has one major blind spot: It can’t show you what the shipment actually looked like when it left the dock.

Most warehouses take photos of the freight.

Very few take a photo of the trailer before anything goes in it.

That one picture can save you a lot of money.

Say the trailer has a hole in the roof, a soft spot in the floor, or a nail sticking out of the wall.

You load it, it rains on the way, and the freight shows up wet.

The customer files a claim against whoever loaded it.

That's you.

If you have a photo of that roof before loading, you can show the trailer was the problem.

The carrier sent you bad equipment, and that's on them.

Without the photo, it's really hard to prove.

The same goes for trailers that show up dirty or smelling like the last load.

Food and paper products pick up smells and stains, and then the whole load gets rejected.

A quick photo of the empty trailer, with the time and the trailer number, protects you from all of that.

It also gives your team a reason to refuse a bad trailer before they put freight in it.

Turning one away is a lot cheaper than paying for a whole load later.

A customer reports damaged freight after delivery.
The team checks the BOL.
They check the POD.
They check the delivery records.

But the real question is: What did the shipment look like before it left your facility?

Paperwork proves it was shipped. Visual evidence proves it left your facility in perfect condition.

The seal on a trailer door is a small thing that settles a lot of arguments.

When a trailer leaves your dock, the seal number shows nobody opened those doors after you closed them.

When a trailer arrives, it shows whether anyone got in along the way.

A lot of warehouses check the seal and never write it down.

Some don't check it at all on busy days.

Then a load shows up short at the store.

The retailer says the warehouse shipped it short.

If you have a photo of the seal going on, with the number and the time, the conversation changes.

Now the question is what happened between your dock and theirs.

If the seal number at delivery matches yours, you have a strong case the load left the way you said.

If it doesn't match, someone opened that trailer after it left you.

Either way, you have something real to point to.

Without it, it's your word against their count.

Taking that photo takes about five seconds.

I tell every team I work with to make it part of closing the doors, so nobody has to remember it.

A trailer backs into your dock, and the freight inside is already beat up.

Crushed corners, a leaning pallet, a few cases wet on the bottom.

Your team is busy, so they unload it and move on.

Two weeks later, the customer says the warehouse damaged it.

Now you're the one who has to prove the damage was there before you touched it.

Most warehouses can't do that.

Nobody took photos when the doors opened.

Nobody noted it on the paperwork the driver signed.

So the damage that came off the truck turns into damage your team caused.

I see this one all the time, and it's one of the easiest to fix.

Before anything comes off the trailer, take a few photos of the load as it sits.

Get the seal, the open doors, and anything that looks off.

Write the damage on the delivery receipt before the driver leaves.

Tie all of it to that inbound load with the time on it.

Then when someone says you did it, you can show them what it looked like when it showed up.

Most of those claims go away once the photos come out.

"It’s just a small crack. It’ll hold."

That’s usually what gets said right before a 2,000-lb pallet collapses inside a high-bay rack. 🪵💥

Bad wood rarely fails on the floor. It fails 20 feet in the air that puts drivers and inventory at risk.

When reporting broken pallets takes too much paperwork, workers just reuse them. Fixing it takes three quick habits:

1. Tag at Inbound: Snap split stringers at receiving so suppliers take responsibility.
2. 5-Second Reports: Let dock teams snap and isolate bad pallets on mobile instantly.
3. Pull, Don't Reuse: Send flagged wood straight to scrap, never back into racking.

When reporting is effortless, dangerous wood stays off your racks.

Cargo theft has been bad the last couple of years, and a lot of warehouse managers are stressed about it.

Some of the teams I work with aren't losing much sleep over it, though.

They didn't hire a bunch of guards or buy a wall of cameras.

What they did was change what happens at the dock on every pickup.

Before a load gets released, they record the driver, the truck, the plates and the freight.

All of it is tied to that one shipment, with the time on it.

The same thing happens when freight comes in.

So they can show what shape it was in when it got to them.

So if a fake driver shows up, he either gets recorded or leaves without the load.

If a retailer disputes a shipment, the team can pull up that load in a minute and send it over.

If a carrier calls asking where something is, they can answer the same day.

None of this stops thieves from trying.

They'll keep trying at every warehouse they can find.

It does make their warehouse a harder target than the one down the road.

Thieves tend to go where it's easier.
